Summary of Position:
The Office Administrative Assistant is responsible for providing a broad range of administrative support functions for CLC’s central office in Seattle and 4 remote offices located in Pierce, Kittitas, Mason and Snohomish Counties. The primary function of this position is to ensure that the central office has administrative and clerical support to departments that do not have a designated staff assigned to those tasks. A portion of this position will also be allocated to providing scheduling support for the COO and to provide facilities support to the remote offices.
Specific Duties
General Office Duties
1. Order and monitor inventory of office, copier, kitchen and stationery supplies on a weekly basis. Provide assistance to remote offices for special orders. Maintain postage meter and supplies.
2. Monitor copier machines and printers on a daily basis. Check paper levels and toner – refill as necessary.
3. Daily distribution of mail, including keeping a log of incoming checks, per internal control protocols.
4. Update and maintain core Business Services information on CLC’s Staff Wiki and CLC’s Board Wiki. Update staff information, intern postings and job announcements on CLC’s main website, as needed.
5. Assist with the preparation of workstations and supplies for new employees.
6. Maintain relationships with service vendors and building maintenance for all CLC’s offices.
7. Maintain schedules for offices resources such as intern workstations, conference rooms, projectors, laptops and conference phones.
8. Distribute petty cash and reconcile account on monthly basis.
9. Maintain onsite and offsite storage areas.
10. Lead CLC’s “Green Office” initiative.
11. Assist in organizing data on file server, under the direction of Supervisor & IT Coordinator;
12. Ensure that staff members have the office/facilities resources they need to easily and effectively perform the functions of their jobs.
13. Other duties as assigned.
Clerical & Administrative Support
1. Provide clerical support to departments on an ad hoc basis:
• Copying and collating meeting materials or marketing collateral;
• Filing and data entry;
• Provide admin coverage during staff outages;
2. Assist the Executive Assistant to the President in providing coverage for the front office reception area and providing general clerical support for Board and Executive meetings.
Administrative Support to COO
1. Maintain and schedule appointments for COO. Provide weekly calendar reviews/previews.
2. Prioritize incoming mail and signature requests on a daily basis.
3. Provide minimal clerical support – meeting prep, filing, mail etc.
Required Qualifications:
1. 1 – 2 years of office/clerical experience in a fast paced environment.
2. Reliable and dependable with good attendance record; able to follow directions and meet deadlines, attentive to detail;
3. Demonstrates initiative in pro-actively identifying and solving problems as they arise.
4. Service – oriented with a positive attitude. Courteous, personable and flexible; able to deal effectively and sensitively with a wide range of people.
5. Commitment to working effectively as a contributing member of the team.
6. Good written and verbal communication skills.
7. Attention to detail and ability to organize and manage diverse and multiple activities, set priorities, and remain flexible under pressure.
8. Experience in the Windows 7 operating system environment. Advanced user of Microsoft Office 2007 software including Outlook, Word, and Excel.
9. Enthusiasm and commitment to land conservation and the environment.
10. Ability to lift 30 pounds.
11. Willingness to work some non-standard hours.
12. Valid driver’s license is required.
